Who is responsible
The data controller for our services is Coepi (People not paperwork, Lda.). For anything about your personal information, write to privacy@coepi.eu.
What we collect
We collect personal information you give us when you register, start an application, ask about our services or contact us. What we collect depends on what you do on the site and in the application.
- Information you give us. Name, email address, phone number, mailing address, and the documents you upload for your application.
- Information collected automatically. Device and usage information when you visit: IP address, browser and device characteristics, operating system, language preferences, referring URLs, country, and how and when you use the site.
- Usage history. We keep a record of the pages you open on coepi.eu and in the application, when you opened them, how long you stayed and where you arrived from. On its own this identifies a browser rather than a person. Once you create an account we connect it to your account, including visits made from the same browser before you signed up; from then on it counts as personal information about you. The cookie policy lists the identifiers involved.
What we use it for
We process your personal information to enter into and perform a contract with you, with your consent, on our legitimate interests, and to comply with legal obligations. In practice that means:
- Creating your account and signing you in.
- Preparing, filing and delivering your application.
- Sending you administrative information about your application.
- Sending marketing communications, if you asked for them.
- Posting testimonials you have agreed to.
- Asking for feedback.
- Understanding how the site and the application are actually used, so we can find the steps where people get stuck and fix them. This includes looking at the path a single customer took through the site, which is why we connect usage history to your account.
- Protecting our services, enforcing our terms, complying with legal and regulatory requirements, responding to legal requests and preventing harm.
Legal basis
- Consent. Where you have given us specific consent for a specific purpose.
- Performance of a contract. Where we have a contract with you and need the information to fulfil it.
- Legitimate interests. Where processing is reasonably necessary for our legitimate business interests.
- Legal obligations. Where we must disclose information to comply with applicable law, a governmental request, a judicial proceeding, a court order or a legal process.
Who we share it with
We share data with vendors, service providers and contractors who perform services for us and need the information to do that work: payment processing, data analysis, email delivery, hosting, customer service and marketing. Your application documents go to the Portuguese lawyer who files it and to the tax authority, because the application requires them. Nobody else.
Security
We have technical and organisational measures in place to protect the personal information we process. No transmission over the internet or electronic storage is completely secure, so we cannot guarantee that unauthorised third parties will never defeat these measures.
How long we keep it
Only as long as necessary for the purposes on this page, unless a longer period is required or permitted by law, for example for tax or accounting. The usage history described above is kept for no longer than 24 months and then deleted automatically. You can ask us to delete the records held about you at any time by writing to privacy@coepi.eu.
Your rights
In the European Economic Area and some other regions you have the right to access and obtain a copy of your personal information, to have it corrected or erased, to restrict its processing, and where applicable to data portability. In certain circumstances you may also object to the processing. Write to us and we act on it.
Cookies
We use cookies and similar technologies. Which ones, and how to refuse them, is in the cookie policy.
Children
We do not knowingly collect data from or market to children under 18. By using the site you confirm that you are at least 18, or that you are the parent or guardian of a minor and consent to their use of the site.
Changes
We may update this policy. The updated version is marked with a new date and takes effect as soon as it is published here.
